Position Summary
 
This position is accountable for day-to-day scheduling and dispatch for all G3 projects. This includes communication and coordination with clients, project managers, and field staff to efficiently staff projects. This position can be located in Sacramento, CA or the SoCal area. 

Essential Duties & Responsibilities 
Schedule
  • Proactively coordinate with all relevant staff (PM, Technical Directors, Lab) to determine daily schedule for all field staff and drivers.
  • Create daily schedule and keep up to date as changes occur.
  • Create and communicate driver schedule daily to Field/Lab Managers.
  • Maintain Staff Forecast spreadsheet weekly.
  • Partner with PM to understand project scope and required testing.
  • Review, approve and stay up to date on employee vacation requests, as outlined in the Field Services Supervisor Manual.
  • Strategically identify personnel and equipment.
  • Effectively communicate with (Local 3 & 12) to manage apprentice program; the use of apprentices and appropriate ratios of apprentice to inspector
  • Maintain Records of field equipment locations and calibration dates,
  • Dispatch drivers to drop off equipment when calibration is needed. 
  • Maintain records of double shift, and explanation as to reasoning.
Dispatch
  • Create dispatch slip for each technician to include the following:
    • Assigning technician based on project needs and technician certification/experience.
    • Identify technician start/stop time, milage, and per diem.
    • Attach QC plan links for reference.
    • Link project report templates.
    • Assign equipment.
  • Review daily dispatch slips for completeness and accuracy.
  • Perform review of missing reports and follow up with employees to collect them.
  • Support the onboarding process of new field technicians and train new field staff on dispatch, report submission, expense submission, equipment and sample pick up coordination.
  • Email dispatch assignment to field and driver staff by 4pm each day.
  • Publish daily schedule to relevant office staff by 5pm each day.
Reporting & Training
  • Maintain field staff documentation of certifications and update matrix.
  • Maintain field staff training documentation.
  • Coordinate with field staff and certification entities to schedule testing and training based on information provided by Field Services Manager.
  • Become authorized signer and maintain all airport badging needs.

Educational Experience:
High School Diploma required
College Preferred


Experience:
1-2 Years’ experience in a similar role managing various projects, accounting, word processing, report generation, client services and written and verbal communication.


Pay Scale
$45k - $52k annually
